Managing Organisational Units

Organisational Units in Corvus are defined at the commissioning stage and are determined by your existing Organisational structure.
Organisational Unit configuration can be completed and managed on site as there may be required updates over time to ensure the data is correct, these edits will be performed by your Site Administrator.

  • Manage Org Units can be found via the Data Administration Tab, ensure Personnel / Security is selected and click Manage Org Units:

Organisational Unit Example

When Org Units for your site are configured, they are created in the system and assigned the associated parent, this starts to form the Hierarchy of the Organisational Structure.

For example, based on the provided Org Unit Structure a group of Coal Mining Org units are required for configuration. Coal Mining Org Unit is at the top of the hierarchy for this particular unit, which has child
org units associated such as Coal Mining A, Coal Mining B, Coal Mining C and Coal Mining D. These child Org Units all report to the Parent Org Unit of Coal Mining.

  1. Coal Mining Org Unit is initially created in the System and is assigned the Parent of which it reports to in the Org Unit Hierarchy Structure of the Organisation:

  1. Coal Mining A, B, C and D become created in the System and are assigned the Coal Mining Org Unit as a Parent:

This then forms the Org Unit Structure for Coal Mining and its crews within:

Once this has been configured and finalised for your site, only updates will be required as deemed necessary. Based on the above example, it is important for this data to be kept up to date and maintained or the Org Unit Structure will be incorrect.

Adding or Editing Organisational Units

To Create a New Org Unit:

  1. Select the Data Administration tab
  2. Ensure Personnel / Security is selected
  3. Select Manage Org Units
  • A list of existing Org Units will display. Please note: to avoid duplicate Org Units created in the system, search the required org unit to verify it doesn’t already exist
  1. Select New

  2. Update the details based on the Org Unit Hierarchy

  3. Select Save

Please note: You can include consultants and contractor as org units by ticking the Is External check box to denote their external status.

To Edit an Org Unit:

  1. Follow steps 1-3 as per To Create a New Org Unit
  2. Search for the existing Org Unit you wish to edit
  3. Select the record
  4. Using the drop downs and editable fields, insert update
  5. Select Save

Deleting an Organisational Unit

If an Organisational Unit is no longer applicable to your site, for example a corporate restructure has dissolved that unit, they can be deactivated. The Organisational Unit is not actually deleted, as all data must be retained in Corvus for historical reporting purposes, but it will no longer be available for assigning to an individual Personnel record.
